There has been a vast evolution of technology geared  toward the meetings and events industry over the  last 10 years. Clients are finding new ways to be  more collaborative and innovative when it comes  to communicating with industry partners, attendees  and event planners. At the Orange County Convention  Center (OCCC), we are using varioustechnologies to  be more efficient and provide greater flexibility for our  clients, as well as to help our Event Managers coordinate  successful events. 

The OCCC uses the world’s leading event  technology platform, Ungerboeck, to manage and  organize its events. This event industry software not only  helps the OCCC manage service delivery and billing for  events, but also offers some specific features that lend  to more efficient event execution by the OCCC’s Event  Management team. Event Managers use built-in features  of the platform to document commitments made to  clients, while managing data and deadlines  directly related to assigned events. The  system also provides the ability to  archive event history, which greatly  enhances show service delivery in  future years.

Moreover, industry veterans  can agree that the cumbersome  five-inch show specification  binders of the past, have  slowly been phased out  and replaced by e-mails.In  some cases, those e-mails  either get lost in spam  folders or end up being  too large for limited e-mail  accounts to receive.To ease  this process for our clients, the  OCCC uses a unique  event collaboration  tool to help gather  critical event  i n f o r m a t i o n  and organize  it for future use. The Portal is designed to provide a one-stop shop  for uploading and downloading show files between the clients and  Event Managers. The Portal also provides clients with key eventrelated  information and a directory of primary facility contacts  specifically assigned to their event. 

We also use technology resources to contribute to the success  of the pre-planning process. When clientsask for sample diagrams  of room layouts and set ups, clients have the ability to browse  through a library of room diagrams and design room diagrams  based on a certain set of requirements using OCCC’s Interactive  Floorplan program. Thisplatform also provides a wide array of  photos, including a virtual tour of the entire OCCC campus. This  is a great tool for clients, especially those who do not have the  ability to travel to the venue frequently.
